How to avoid double bookings on Booking.com and Airbnb
Double bookings usually happen when availability is managed manually in several places. The safer approach is to use one master calendar and send changes from it to connected sales channels.
1. Use one calendar as the source of truth
If Booking.com, Airbnb and direct reservations are managed separately, every manual entry creates another opportunity for error. A Channel Manager reduces that risk by keeping reservations and availability in one workflow.
2. Do not rely on manually closing dates
Manual blocking can work with one apartment and a low booking volume, but as activity grows it is easy to miss a date or channel. Automated synchronization is more reliable than reminders and spreadsheets.
3. Check channel connectivity after major changes
After changing rates, accommodation types or channel settings, do a quick check: make sure dates, restrictions and availability match across all sales channels. That helps you catch a problem before it turns into a booking conflict.
Practical rule: the fewer places where you manually change availability, the lower the chance of overlapping reservations.

5 tasks you can automate before a guest arrives
A large part of the work before check-in repeats with every reservation. Those recurring steps are the best candidates for automation.
- Welcome message. Send the basic information right after booking or a few days before arrival.
- Collect guest details. Ask for the required information in advance instead of copying it at reception or at the last minute.
- Prepare the eVisitor registration. When guest details are structured in one place, registration is faster and requires less manual retyping.
- Self check-in instructions. If you use a smart lock or key box, the guest can receive instructions at the right time.
- Pre-arrival reminder. An automatic message one day before check-in can include the address, arrival time, parking and contact details.
Automate the routine, keep the personal contact
The goal is not to remove communication with the guest, but to remove repetition. When the system handles standard steps, you have more time for situations where a guest genuinely needs help.
Start simple: automate one message and one administrative step first. When that works reliably, add the next one.
